Yacht Crew & Operations Specialist job (M/F) in Monaco
Job description
We are seeking a highly organised and detail-oriented Yacht Crew and Operations Specialist to support the smooth and compliant management of yacht operations.
This role is responsible for ensuring full alignment with client agreements, overseeing budget management, workforce planning, crew engagement, and retention, while maintaining a consistently high level of service delivery.
The successful candidate will manage key HR, financial, and logistical aspects of crew operations. This includes handling payroll, visas, travel arrangements, certifications, and crew welfare. Acting as a central point of coordination, the role serves as a vital link between the crew, the Captain, and management, ensuring efficient day-to-day operations and full compliance with maritime regulations.
Responsibilities
Crewing
- Ensure all duties are carried out in line with VMS, as well as national and international maritime regulations.
- Work closely with the Head of Yacht Management to deliver services in accordance with client contracts.
- Coordinate crew scheduling and workforce planning with the Yacht Captain and Yacht Manager.
- Manage onboarding and offboarding processes, including:
- Preparation of contracts (SEAs) and documentation.
- Booking flights and arranging visas.
- Managing check-in and check-out procedures.
- Oversee payroll and financial administration:
- Process salaries
- Manage crew expenses and accounts
- Submit financial reports
- Ensure compliance of all crew certifications (including STCW) and documentation.
- Organise logistics such as travel, accommodation, and crew correspondence.
- Act as the main point of contact for crew, providing support, guidance, and welfare assistance.
- Maintain and update crew data within yacht management systems.
Budget Management & Operational Efficiency
- Manage and control the vessel’s budget, including renewals, reporting, and client negotiations.
- Monitor service performance and budget usage.
- Provide regular reporting and recommend improvements to optimise operations.
Compliance, Industrial Relations & HSSEQ Support
- Ensure compliance with maritime regulations, flag state requirements, and industrial relations standards.
- Support HSSEQ teams in accident investigations related to crewing.
- Assist in implementing corrective and preventive actions.
- Maintain high data quality and ensure adherence to quality assurance and audit processes.
Stakeholder Engagement & Process Improvement
- Support new business proposals and onboarding processes.
- Collaborate with internal teams, external stakeholders, and crew to ensure high service standards.
- Use digital tools such as V.Crew Connect and ShipSure BI to improve operational efficiency.
- Deliver clear and structured client reports with performance insights and data analysis.
Requirements
- Minimum of 3 years’ experience in a role within the yachting sector
- Proven experience within the maritime or yachting industry
- Strong customer service mindset with the ability to build and maintain effective stakeholder relationships
- Excellent organisational and problem-solving skills
- High attention to detail, particularly for documentation and compliance
- Strong collaboration and influencing skills, with the ability to support change and improvement
- Ability to manage budgets, reporting, and performance KPIs effectively
- Excellent communication skills, including the ability to negotiate and resolve conflicts
- Good level of technical proficiency and data analysis skills
